Bluebella’s rapidly growing roster of stockists includes ASOS, Selfridges, and John Lewis.  Bluebella is now expanding internationally, particularly in the US with key stockists including Nordstrom, Revolve and Zappos.  Our Wholesale department has significantly gown over the past several years and we are forecasting continued growth as we build our brand internationally.

Key Objectives

  • To manage all aspects of the Wholesale Department.
  • Ensuring each wholesale order moves from data entry to delivery efficiently within this fast paced exciting lingerie brand selling globally.
  • To provide data accuracy and ensure excellent customer service for all Trade Accounts and provide reporting and analysis for other departments such as but not limited to Finance, Sales, Merchandising.

Direct Reports

  • To manage and take responsibility for training and career development of one Wholesale Administration Assistant.

Skills & Experience

  • Previous experience in a similar role (Fashion) 2 years +
  • An excellent understanding of wholesale and the supply-chain
  • Excellent time management and attention to detail
  • Strong analytical & numerical skills
  • Good knowledge of all Microsoft Office - minimum of Intermediate Excel
  • Strong customer service experience
  • Strong commercial acumen
  • Great at working in a fast-paced environment and to multiple tight deadlines

Preferable Skills & Experience

  • Existing knowledge of Netsuite
  • Experience within the lingerie sector
  • Staff mentoring experience
  • Experience working with UK independent/ multi-door retailers and department stores

Roles & Responsibilities

  • Manage department workload and organization.
  • Provide complete administration and responsibility of customer accounts in your own portfolio (by region) and oversee other regions as administered by assistant.
  • Oversee Key accounts, including regular communication with customers and sales team and the maintenance of tracker spreadsheets to monitor all information.
  • Maintain regular reporting and analysis, for example; despatch reports, orders in system, customer revenue, backordered product etc to ensure all information is correct and orders are serviced efficiently and accurately.
  • Develop new reports and analysis as the department grows to provide information as necessary.
  • Run regular despatches in conjunction with Operations Manager to meet ship deadlines.
  • EDI: Ensure product data is up to date and uploaded in system as needed.
  • Run and further develop the ATS (Available to Sell) report (currently weekly).
  • Follow up with new customers after first delivery and feedback to Sales Team.
  • Oversee new season preorder procedure, updating Sales Team regularly to ensure all orders received and in system on time.
  • Oversee/ensure all customer information logs are completed in a timely manner.
  • Liaise daily with Warehouse on where goods are, tracking, commercial invoices etc.
  • Allocate wholesale inbox queries between team members every morning (and moving to twice a day), deal with customer queries allocated to yourself in a timely manner.
  • Enter orders directly on system, liaising with merchandising and operations teams regarding out of stocks or delivery delays.
  • Deal with returns/exchanges as necessary.
  • Liaise with agents as necessary and provide reporting as requested.
  • Sign off the set up of new customers on system after liaison with Operations and Finance for any non- standard arrangements.
  • Assist in reviewing systems and reporting, to constantly improve efficiency and service levels.

Merchandising Admin Assistant

  • Must have previously worked as Merchandise Admin Assistant in a fashion business for 1 Year+
  • Strong analytical & numerical skills
  • Good knowledge of all Microsoft Office - minimum of Intermediate Excel
  • Strong commercial acumen
  • Knowledge of Netsuite an advantage

Roles & Responsibilities

  • Compile & deliver weekly sales reporting for trading meetings
  • Update & maintain WSSI's
  • Forecasting & review of WSSI's with merchandiser
  • Provide analysis & attend monthly Best & Worst meetings
  • Providing analysis for merchandiser for season range planning
  • Working with merchandiser to build new season online range
  • Provide analysis as required to support merchandising decisions
  • Working with operations & ecomm co-ordinator to manage web allocation and visibility
  • Visual merchandising on website under guidance of Merchandiser
  • Manage website replenishment with Merchandising guidelines
  • Working with production team create and maintain integrity of product lines in OMS Netsuite
  • Maintain master data information in regard to deliveries and new item creation

Full-time Internship

We are looking for a bright and enthusiastic intern to support on all aspects of sales and marketing in our small but fast growing business. This will be an opportunity to get a real insight into the workings of a fast growing fashion brand with genuine hands on experience. You will work within a small friendly team and gain a broad range of experience – from new sales and marketing initiatives to supporting existing stockists and events.

Responsibilities will include:

  • Research and contact of sales targets (potential new customers)
  • Support updating Bluebella contact database
  • Managing sample schedule for trade shows and photo shoots
  • Adding the smooth running of the production schedule including
    • Ensuring production records are kept up to date and in order
    • Liaising with designers and manufacturers throughout the design and development process
  • PR – responding to journalist requests; sending out samples, monitoring press coverage
  • Support at Bluebella events such as Trade Shows and Photoshoots
  • Hands on support at Photo shoots

You must be positive, confident and outgoing.

You will have a love of fashion and have the ability to understand the Bluebella brand. You will be entrepreneurial and proactive as you may need to spend periods of time working unsupervised. If you are creative this an opportunity to also come up with your own ideas and see them implemented in a real business environment.

You will be flexible with a real ‘can do’ attitude. In a small business when a job needs doing, everyone pitches in!
